Managing Waitlist-Only Events

OfferingTree's zero-capacity event feature allows providers to create sessions where all participants join a waitlist and are manually approved before being charged. This gives complete control over class rosters, making it ideal for sessions with prerequisites, screening requirements, or conditional enrollment.

Create Your Zero-Capacity Event

1. Go to your schedule and click "Add" and select "Schedule an Offering"
2. Set up your event details as usual
3. In Registration Settings, set Max Capacity to 0
4. Enable Waitlist and set your cutoff time (minutes, hours, or days before the event)
5. Set Show Remaining Spots to 0
6. Click Save

How It Works for Clients

• Clients see a "Join the Waitlist" button
• There's a default "Text notification" opt-in for waitlisted events and they can opt-out for text notifications
• They select their payment method (single payment, gift card, or credits)
• They see the message: "Space limited - will only be charged once confirmed"
• No charge occurs until you promote them

Managing Your Waitlist

View Waitlisted Participants

• Events show a blue "W" tag with the number of waitlisted people (e.g., "W1")
• Click the event and select "Waitlist"

Approve or Remove Participants

For each person on the waitlist, you can:

• Promote to Active Roster - They're automatically charged and confirmed and a badge will indicate when they were moved from the waitlist onto the active roster.
• Delete from Waitlist - They're removed without being charged.

Important: Once promoted, participants cannot be moved back to the waitlist, but you can cancel their registration or move them to a different session.
