Setup online classes and events to automatically create Zoom meetings
OfferingTree can automatically create Zoom meetings for your online classes and events by linking your Zoom account to OfferingTree. These meetings will be secure and the link is only shared with you and the people that register for your offering (you do have the option of making the link public if you would prefer that).
To get started, you can choose to make your scheduled offering an "Online Event". To learn more about the basics of setting up online classes and events, please take a look at this help article.
This will open up a screen that will allow you to set up your online event details. You can check the box to let us know that you would like us to automatically set up your Zoom meeting.
The first time you do this, you will need to give us permission to create meetings on your Zoom account.
Once you give us your permission, your Zoom account will be linked to your OfferingTree account. Your Zoom credentials are never stored on our platform and you can always deauthorize the OfferingTree app from your Zoom account.
Press Done and then save your scheduled offering, we will then create the Zoom meeting for your event and everyone that registers for the event will receive a secure link to your Zoom meeting. The link includes the Zoom password and your users will not need to type in a password. If this is an existing event and you are adding an automatic Zoom link, anyone who had already registered will receive an update email with the new Zoom link.
Set up your appointments to automatically create Zoom meetings
You can also have OfferingTree automatically create Zoom meetings when someone books a one-on-one appointment with you. These meetings will be secure and the link is only shared with you and the person that books your time.
To get started, ensure that your appointments are set up to be "Online appointments". To learn more about setting up your appointments, please take a look at this help article.
This will open up a screen that will allow you to set up your online appointment details. You can check the box to let us know that you would like us to set up your Zoom meeting.
After this is saved, when someone books an appointment with you, a private Zoom meeting will automatically be created and a link to the meeting would be included in the confirmation email that is sent out to them.
Accessing Zoom Meeting Links in OfferingTree
You can view the zoom meeting links created on your Zoom account on the schedule page. Note that for repeating events, we don't create all the Zoom meetings right away, but only when someone registers for the class or you request the link. Here is a help article with more details.
Zoom Meeting Settings
The Zoom meetings that OfferingTree creates will use your default Zoom meeting settings. In order to change your default settings, sign in to your Zoom account, and navigate to the "Settings" page.
From here, you can control whether your meetings have a waiting room, whether to automatically record all meetings, etc.
Please ensure that you have the "Embed passcode in invite link for one-click join" turned on (this is the default setting), as this ensures that your clients can join the meeting with the link we send them and don't need to type in a password.
Uninstalling the Zoom App
If you would like to remove the association between your Zoom app and your OfferingTree account, you can uninstall the OfferingTree app from your Zoom account. To do so:
- Login to your Zoom account and navigate to the Zoom App Marketplace
- Click Manage > Installed Apps or search for the OfferingTree app
- Click the OfferingTree app
- Click Uninstall.
P.S. Join our Facebook group and connect with other OfferingTree users to share questions, offer ideas and insights, and support each other towards a more thriving wellness business.
