Automations allow you to automatically engage with your clients based on their interactions and behaviors within your business. Whether you are welcoming new clients, following up on event registrations, or promoting special intro offers, automations help streamline your marketing and client retention efforts.

Creating an Automation
To build a customized workflow tailored to your business:
Navigate to Communications > Automations.
Choose to start from a pre-built Template (which includes video guides and setup notes) or start from a Blank Automation.
Name your automation clearly (e.g., "Intro Offer Nurture Sequence").
Setting Execution Rules
Select how often a contact can enter and move through this workflow:
Once per contact: Contacts will only ever go through the automation once, even if they meet the trigger criteria again in the future.
Multiple times per contact (after completion): Contacts can re-enter the automation only after they have fully exited their previous run.
Multiple times per contact (simultaneous): Contacts can enter multiple times and run through different paths in the automation concurrently.
Adding Triggers
A Trigger is the event or client behavior that starts the automation sequence.
Triggers come in categories:
For a complete breakdown of available entry triggers and configuration options, see our guide on Automation Triggers.
Applying Conditions & Advanced Filters
Conditions allow you to split your automation path based on client properties or history, ensuring the right message reaches the right person.
When a condition is added, the path splits into True (meets criteria) and False (does not meet criteria) paths, or Paths connected to a Segment. These conditions work through logic and can be combined.
Conditions come in categoris:
To learn how to combine filters and set up complex logical paths, refer to our detailed article on Automation Conditions.
Adding Actions
Once your triggers and conditions are established, define what actions the system should take.
Actions come in categories:
For more details on using event steps to hold or advance contacts, read our article on Automation Actions.
Using Events to Control Automation Flow
Events act as checkpoints or goals within an automation. If a contact performs a specific action (such as purchasing an intro offer) while moving through a delay or email sequence, an Event step can manage their progression.
Events come in categories:
- Default Behavior vs. Pause and Wait
- Events & Appointments Events
- Purchases & Discounts Events
- Membership Events
- Contact Events
- Additional Notes
There are two options for Event behaviors:
Wait Option: Pause the contact at the event step until the action occurs (e.g., wait until they purchase the offer before sending a welcome email).
Step-Through Option: Allow the contact to continue down the path if they don't meet the criteria within the specified timeframe.
For more details on using event steps to hold or advance contacts, read our article on Automation Events.
Automation Limits
Depending on your subscription plan, you may have a limit on the number of active (turned-on) custom automations you can run simultaneously:
Active Quotas: Even if your plan limits active automations, you can create and save as many draft automations as you like.
Built-in Automations: Every plan includes 3 built-in automations. These do not count toward your active quota, meaning you can keep them running without taking up custom automation slots.
Editing Built-in Automations: While you cannot add extra steps to built-in automations, you can adjust timing conditions, modify email content, and add secondary triggers.
