Client badges give your team quick, visual context about a client directly next to their name—whether they are celebrating a milestone, missing required account details, running low on class credits, or nursing an injury.
This guide covers how to configure milestone badges, toggle automated system badges, and add direct client note badges.
Setting Up Milestone Visit Badges
Milestone badges automatically highlight how many sessions a client has check-in for, helping staff recognize new clients or celebrate loyalty achievements.
Check-ins vs. Registrations: Badges count actual check-ins rather than registrations. If a client registers but cancels, late cancels, or misses a session, it will not count toward their visit total.
-
New Client / Intro Offer Badges:
By default, the system displays the 1st session as a "New" badge.
To extend this across a client's intro offer (e.g., sessions 1 through 5), add entries for sessions 1–5 and label them "New" or "Intro Offer".
If you leave the custom label field blank, the system will simply display "1st Session", "2nd Visit", "10th Visit", etc.
-
Display Frequency & Milestones:
By default, milestone badges appear every 25th session.
To show a badge on every single visit (e.g., after session 5), change the frequency interval from
25to1.Highlight major achievements (e.g., 100th or 200th class) by adding custom labels like "100 Classes". If left blank, major milestones display as a distinct green badge showing "100th".
Hover Feature: Hovering over any milestone badge reveals the client's exact visit number.
Package Credit Alerts
Track when a client is running out of session credits so staff can prompt a re-purchase.
Set a threshold for remaining credits (e.g.,
2or fewer remaining). When reached, an amber badge appears next to the client's name.Hovering over the badge displays details, such as "2 credits left out of 10-class pass".
-
Stays quiet when:
- They have already bought another pack — including one that has not started yet.
- They are on a membership, because memberships renew. A membership also silences the badge for any packs they hold alongside it.
- The package is unlimited.
- They have hit zero. This badge means running low, not out.
Note: Credit alert badges apply only to packages, not renewing memberships.
Other Automated Badges
You can toggle specific system-generated badges ON or OFF depending on what information is most relevant to your workflow:
Missing Required Fields (Toggleable): Triggers when a client profile is missing required custom field details.
Account Balance (Toggleable): Shows when a client owes money on their account.
Credit / Gift Card (Toggleable): Displays when a client has an active credit or available gift card balance.
Unpaid Memberships (Toggleable): Highlights when a client has an overdue or failed membership payment.
Promoted from Waitlist (Toggleable): Indicates that a client was moved from the waitlist into the session.
Client Notes & Custom Field Badges
Waiver Not Signed (Always On): Alerts staff that the required client waiver has not been completed. This badge cannot be turned off.
Notes Badge: Add quick operational notes directly onto a client's profile so staff can see them at a glance (e.g., "Recent knee injury - offer modifications" or "Pronounced: Ah-LEEX-ah"). Decided one note at a time, by Show as badge on the note itself — so there is nothing studio-wide to switch here. The badge will be the note title.
Custom Field Badges: You can set custom fields to display as badges. To configure which custom fields appear as badges, manage them under Custom Field Settings.
