This article outlines how to configure and manage the guest pass feature for your membership and package offerings, allowing your clients to easily invite family and friends to experience your services.
Understanding the Guest Pass Feature
The guest pass feature provides a flexible way for your clients to share their membership or package benefits by registering additional individuals for events or services. When enabled, clients with this benefit will have a set number of "guest passes" they can use.
Configuration Options for Guest Passes (Under Membership/Package Settings)
When setting up or editing a membership or package, you'll find the following options to configure guest pass functionality:
-
Allow clients to register family and friends using this Membership/Package: This is the crucial setting. When checked, clients with this membership or package will be presented with options to register additional individuals (family or friends) during event/service registration. This unlocks the ability for them to use either their membership/package credits (if applicable) or guest passes.
-
Use Membership/Package Credits: Selecting this option allows clients to use their regular membership or package credits to pay for registering their guests. This is an alternative to using guest passes.
-
Use Guest Passes: Enabling this option activates the guest pass feature for this membership or package. You will then be able to configure the following:
- Number of passes per cycle (Memberships): For memberships with recurring billing, specify the number of guest passes each member will receive at the beginning of each billing cycle. These passes will typically reset automatically.
- Number of passes (Packages): For packages, specify the total number of guest passes included with the package purchase. These passes will not renew.
-
Only allow guest passes for new guests: This is an optional but powerful setting. By toggling this on, you restrict the use of guest passes to individuals who are not already in your system as registered clients. This can be an effective way to attract new customers through your existing clients.
Note:For existing active memberships, guest passes will be applied at the time of membership renewal, not immediately after you make these changes.
How the Guest Pass Feature Works for Clients:
When a client with a membership or package that allows registering family and friends proceeds to register additional attendees for an event or service, they will see the following:
-
If the membership or package is configured to use membership/package credits for guest registrations, the system will indicate the number of remaining credits available on their membership or package that can be used for these additional registrations.
-
If the membership or package is configured to use guest passes, the system will display the number of guest passes the client has available. They can then use these guest passes to register their family and friends.
In both scenarios, the client will be clearly informed of the available credits or guest passes they can utilize to register additional individuals. They simply indicate how many guests they wish to register, up to the number of remaining credits or guest passes.
Key Considerations for Implementing Guest Passes:
- Clearly communicate the availability and terms of guest passes for both memberships and packages to your clients during signup and in offering details.
- Decide on an appropriate number of guest passes for both memberships (per cycle) and packages (total) that aligns with your capacity and the value of the offering.
- Remember that guest passes for memberships typically renew per billing cycle, while guest passes for packages are a finite number included with the purchase.
- Consider the benefits of restricting guest passes to new guests as a marketing tool.
By effectively utilizing the guest pass feature for both your memberships and packages, you can enhance their value, encourage client engagement, and potentially attract new customers to your studio.
